EP 1459  Here’s how the sausage is made.

Summary

The question I received was, "What happens to my resume after it is received for a job post?" This is like the sausage and how it is made. It is really an ugly process.

Once you've submitted it to a job posting, there are now 2 possibilities. One is when you've submitted through an applicant tracking system; the other one is when it asked to the email a resume. Smaller firms might not have the systems in place and you are emailing a resume.

The applicant tracking system is a filter. It parses your resume and inputs data into their system and may or may not, depending upon the system, score your resume based upon your use of keywords to determine whether or not you are a POSSIBLE FIT. I want to be clear. POSSIBLE FIT.

It is not perfect, obviously, and depending upon the scoring system and how it has been set up, and how the dictionary of terms has been created to evaluate, you may or may not be passed on to THE FIRST HUMAN BEING. Often in corporations and with the search firm that person is representing that business area or that hiring manager who is attempting to fill the position. They are doing a visual scan. Again, if you came in through an applicant tracking system, some systems will never let you get that far because if they are seeing you doing "serial applying" as 1 of my guests on Job Search Radio described or you are applying to lots of different disparate jobs, they are just going to block you and never let that resume get through even if you might be qualified because they have identified that behavior as being reflective of (please excuse my language) bullshit artists.

Assuming that that is not you and you're getting to the 1st level human being who is there to check, with some organizations that could be the hiring manager. Most of the time, it is HR. With smaller firms, it is whoever is "stuck" having to look at resumes. That's the reality to it. It is whoever is "stuck" having to look at resumes because the owner was busy. "You look at the resumes and show me the ones of the people who think fit." That person makes a determination and passes it to the hiring manager or, if it is a search firm or an HR person, they are going to do the 1st screen.

Ultimately, systems are there to save time and, obviously, they are not perfect. They do a lot better as a time-saver then you as a job hunter would prefer that they do. You are applying to jobs because you think they are right.

Now, in some organizations, HR is not even going to interview you on till the hiring manager says to do so. "I want to talk to that person." You are dealing with the ladies all the time, because your resume is going from the applicant tracking system to HR to a hiring manager for home hiring is only 1 of their priorities; they have a job to do. As a result, they are not there sitting by their computer instantly giving responses. They are looking when they have some time. Sometimes that is on their commute. Sometimes it is when they need to take a break. Sometimes it is when they schedule something on your calendar to review resumes. They are trying to work it into their day when they have time that they can take away from their "real job." That is the way they think about. Taking time away from their "real job."

Your resume is an interruption. They may wait for the weekend to review a bunch of resumes. They may wait so the evening. They may wait for their commute. Whatever it is, they are not instantly looking at your resume.

That is what goes on behind the scenes from a process perspective. Some systems may send you questionnaires; some recruiters, both HR and agency recruiters, may send questionnaires to clarify particular parts of your background because your resume wasn't clear enough to them answer those questions because you are not going to get to the interview otherwise.

Students: Why You Should Use Google Docs for Your Resume | JobSearchTV.com


Students, graduates, here’s a great reason to use Google Docs to submit your resume.

Summary

Now, I want to talk with you . . . you are a student, you'll be looking for work, and there's one bind that you have. And the bind is when you send out a resume, if you send that as an attachment, well, you're going to be updating your resume pretty regularly. Like there are new things that are going to happen, you're going to think of making changes. you're not a resume writer for a living, right?
So, what's going to happen is, you're going to send that your resume, and then you're going to make a change. And I know you're not going to send out your resume to me when you sent it to before. You don't want to look like a pain in the butt, right? So here's what I want to suggest that you do.
If you're a student graduating, you're looking for work, I do want you to attach your resume. But at the top of the resume, I want you to put this phrase, right, for the most up to date resume, click this link. And what you do is you connect the link to a file on Google Docs, where your most up to date resume is.
This way, if a recruiter is coming back, and you know wants to see the most recent resume, he or she is waiting for you to send it to them, it's there automatically for them. And you're not having to do this repeatedly. It's a smart little tactic. It'll wind up helping you tremendously, because, again, you don't write resumes for a living; I critique them. I see where all the mistakes are. I fix them for people-- for beginners, for experienced people, all alike and, thus, by having that link at the top of your resume, (Put it underneath, name, address and that sort of thing. By the way, put your name, address, zip code there. Don't avoid the zip code thing and, minimally, put city state zip there). In this way, for recruiters searching in their database, what you'll be able to do is very simply, they do the search by where you are, not just simply the skill. So, you want to be able to do a search. They want to be able to do a search and they have to do by zip code.
So, normally city, state and zip and then, underneath it, a link to it with a note that says, "for my most up to date resume, click this link." It'll take them to the Google Doc for the most current resume.

You are responding to an ad that you heard about. You heard something about a position open at a networking event you went to. Now you're going to send your resume in.

Before you send it out, read your resume carefully and look for this – – how is my resume actually demonstrate that I fit this role?

What in my background will come across In the resume that is going to cause them to say, "Ah! . This person can do the job!"

If you cannot answer the question, your resume needs a rewrite for this job. Otherwise, all you are doing is sending out spam. You know,, the broken watch is right twice a day-- maybe a work sometimes, maybe it doesn't. Most of the time it doesn't.

For you, just ask yourself the question. Don't give yourself a BS answer. Be forthright with yourself. How is your resume actually show that you fit the job and how far does someone have to read in order to find it? if you think it is on page 2, move it on to page 1.You have to use your cover letter to draw attention to it so that they know to read there.

Otherwise, it is a waste of time.

When is the best time and day to email a resume and cover letter to a recruiter?

That is the question for today. Let me start off by asking, why are you sending it to recruiter? Why not just try to find the hiring manager?

The hiring managers the actual decision-maker who's going to make the choice about whether or not you're actually going to be interviewed. Some recruiters may do that so why not go directly to the hiring manager? That's point number 1.

Point number 2 is, "But I can't find the hiring manager!"

3rd. If you insist upon sending it to the recruiter, I saw one opinion it's a Tuesday through Thursday night from 9 PM or later. Why? The opinion is because it is waiting in the inbox for the recruiter to say 1st thing in the morning when he or she walks in.

Maybe a sense of what happens from a recruiters perspective. This is a corporate recruiter for more well-known firm who spoke at an organization. They are well known, well regarded, well-liked, and I don't know what her day is like, but that 9 o'clock, email is pretty well buried in my inbox when I walked in the door.

I'm getting stuff sent to me all night long from people who are trying to get my attention. If there is someone sending it to me at 9 PM, is also summing sending it to me at 1 o'clock in the morning. At 2 o'clock in the morning. At 3 AM. At 4 AM. At 3:05 AM. At 3:07 AM. On and on and on until the next morning.

It is my suggestion. Instead of playing that game of being the 1st 1 in the inbox to be noticed, consider conceding that time because, in my case, let's say there are 50 messages I walk into on a Tuesday morning (it's actually more than that) or a Wednesday morning, I will start off with the top few of them and the one sent to me at 6 PM the night before… I won't see them right away. I'm not starting with the oldest 1 1st. I'm starting with the more recent 1 1st… I'm kind of working my way down.

Then new stuff comes in and I'm responding to, and then I'm going to the older stuff. Newer than older.

My thought is that instead of sending for a 9 AM arrival where we are playing that game, send it for a 10:30 AM or 11 AM arrival. Monday you could go later morning than that, like 11:30 AM, noon, or 12:30 PM arrival.

Or Tuesday, Wednesday, Thursday… Do it then. Don't do it for 9 AM. Do it for later in the morning where people have a chance to get caught up on some things. Mondays may be hard because they do on boarding, or they may have 3 days worth of emails (Friday after close of business, Saturday, Sunday or early Monday morning). You don't want to be competing with all those.

My thought is late mornings are ideal. It could even be late morning early afternoon on Monday. Tuesday Wednesday Thursday – – mid-to-late morning. Friday, do not send it in the afternoon. You are better using Outlook to delay the send of your resume and cover letter. By using delay/send, your preventing yourself from being caught up in the weekend emails but so that it arrives on the following Monday.

I get calls from people on Friday at 5:30 PM as though I'm waiting around to have a detailed conversation with someone Friday at 5:30 PM or 6:30 PM or 7:30 PM! It's bizarre! Are you sitting around waiting for recruiters to call you? Why do you think I'm so excited to be talking to you at those times?

Again, think of what it's like to be the recipient of your contact. Pick times that are relevant (which is what I've been suggesting here) and work within those frameworks.

Finding Who to Contact at a Company | JobSearchTV.com


Trying to contact a decision maker at a company you’re targeting or that you saw advertise about a job?

Summary

Today, I'm going to talk with you about how to actually contact the firm that you're targeting to work for now. Let me give you a scenario; you see an ad online .You see something in the newspaper, trade publication, a firm is hiring. You want to get an entry point there.
Another scenario is the firm that you'd like to work for or you've heard great things about them, this is a firm you'd like to be employed by. How do you enter? How do you get your resume in front of the right person. Now, the the classic dumb way to do it is go online, search for listings, apply using their applicant tracking system. Frankly, you know people used to complain about "the black hole" when you were mailing resumes or emailing resumes. Applicant tracking systems are just as bad, if not worse, because they use computerized algorithms to reject you.
So,the basic way I'm going to start off with is, you know, if you know a firm is hiring or you've targeting this organization, what you want to do is go to LinkedIn, see if there's someone within your network that happens to work there, you contact that individual, you tell them I saw something listed there. Could you point me to the right individual who I should contact who I could approach about this role?" Or "would you be kind enough to refer me for this job? This is what my background is. Would you be kind enough to forward a resume?"
Now, why would they do this, especially since LinkedIn has changed over the years of instead of being just purely close relationships to it's very weak relationships, people who have a vague reason for being connected with one another, rather than just simply close friends. Why should someone do that? Why should someone refer you? Very simply you know, if they refer you and you are hired, there's an employee referral bonus available often get. There's a financial incentive for them to do that.
Now, they also don't want to refer bad referrals, you know. If you, in no way, shape or form, fit the requirement, if your resume does nothing to highlight that you're a fit,don't waste their time. You know, you're wasting everyone's time. You know, no one's going to do that. Would you?
But see if you can contact someone that you're connected with on LinkedIn. Just don't only look for first level connections. Maybe someone within a group that you're a member of. Not a member of groups? Join the largest groups for what you do on LinkedIn because that helps you extend your network for inMails without it costing anything. So, join large groups on LinkedIn so you can connect with more people.
Now, if you still not connected to the right person, here's another avenue that you can explore. It may cost you a few cents. But if this is really what you want to do another site that you can go to is is currently called Jigsaw.com. I suspect in the next year or so, It's going to be changed to data.com. jigsaw was acquired by Salesforce. It's being rebranded as data.com right now. You can get on either way, but I think jigsaw is the current entry point. Data is about to be the entry point.
Now ,what this site does is it tells you the names of people at organizations who you can contact who or in particular roles. So, if you want to hire, for example, contact the Chief Information Officer at a firm, the Chief Marketing Officer., It's going to be there. If you want to hire or contact people in HR it's going to be there.
They may list 27 people in hr and you're going to have to kind of piece your way through it. But it's a way that you can you can connect with the right individual
. Another way is sometimes public libraries have access to Hoover's. Hoover's is a pay service and Hoover's will allow you to do much the same thing as jigsaw or data .whereas jigsaw/ data is member propagated () that is, people who aretaking outare also putting in (), Hoover's doesn't do it. that way. They've searched the web and they're looking for information through a variety of sources to propagate their site.
Both work very well. Try different ones. Try either one. I should say to get an entry point to an organization and then, If you're contacting, for example, a chief technology officer at a firm,
"I understood you were trying to hire hire for someone in your organization is trying to hire for this role. Could you point me to the right individual? You know, I'm happy to contact HR but and I prefer to contact the line individual who's responsible for the job."
Why ?Because HR (let's) work with the talent management system,, for example () , it's a dumb system. It's supposedly intelligent, but it's actually dumb. You want to actually get to a decision maker. HR doesn't make decisions about whether to hire. They have the first line decision about whether to reject. They can't guarantee the hire. Only the hiring manager can. HR can influence for compensation. You want to perform well in front of them, but, ultimately, it's a hiring manager that's responsible for whether or not you chosen.
So get to the hiring manager. Let them know that you're interested in a particular role. You want to have a chance to connect with them. Is this a good time? I'm telling you to call them. Don't you send a resume. If you're asked us to send a resume, if you are not getting calls back, then, instead of just simply calling, then, send the resume and indicate that you'll be back in touch with them.
"Could they get back in touch with you give you a sense of when they might be available to speak."

Summary

Today, I’m here with some very simple, very direct, No BS resume advice. Let me talk with you about resumes. The point I want to make is, for most of you, what you're doing is submitting a resume into an applicant tracking system, a talent acquisition system in bureaucratic language.

What these systems are all designed to do is (#1) accept the resume, (#2) be searchable, (#3) satisfy federal reporting requirements and (#4) make it easy for on boarding should you be fortunate enough to be hired.

The important thing from your standpoint is that this is your entry point into an organization and when firms are looking at these resumes, what they're doing is searching for the particular keywords that are relevant for a job search.

So, again, your resume has to demonstrate a fit but, more importantly, unless it follows certain conventions, the systems reject them.

The one legendary thing people seem to insist every once in a while and send a JPEG; they want to use a PDF. They embed the header on in Word (that is that area we can embed something in at the top or bottom). The systems are unreliable in reading embedded headers and, because of federal reporting requirements, do you know what firms do? They delete them because they just have to give accurate information to the government and do you think they are really going to sit there and retype them and all this information in? Of course, not.

So, use Word. Don't use an embedded header. These systems will take text files but who once to go through it? If you don't own Word, that’s the way you may have to go through it or Google doc.

But you want to have a resume that demonstrates a fit and is used in a file format that the systems like, if you want to have a pretty version of your resume out there, it's okay. Put it on a website.

You can put on Tumblr or any number of other sites and make its SEO optimized. Use a PDF in those formats. The idea becomes, very simply, that attractive version of your resume SEO optimized, will attract people to you for years to come.

So, my reminder to you, my advice to you is Word files, keyword optimized for the particular job that's been being recruited for is really very simple.

when not to submit your resume

Here is some simple advice about when NOT to submit your resume based upon human behavior.

Summary

When shouldn't you submit a resume?

Let's look at human nature. If you are submitting your resume on Friday evening, what's going to happen? It's going to sit there with more landing on top of it until, eventually, someone walks in on Monday morning, groans because they see you sent it on Friday late afternoon or evening, Saturday, Sunday until they wonder, "what are you expecting might happen by submitting it at that time?" They now have a stack that they're walking into that's ridiculously long.

I know in my case, on Monday morning I'm walking into 300+ EMAILS.

Monday morning roles in. People start residence sending resumes then. We pay more attention to those. We start the work back in time; then we go to Friday late, we start to meet them in the middle… I think to be a pretty common pattern than most people have.

In other words, you are waiting. If you sent your resume on Friday night, Saturday or Sunday, you're probably waiting quite a while for some of actually read your message.

Don't send out your resume then. It's really a waste of effort on your part. Instead, if you set up Outlook or Outlook express to delayed the send, or if that facility exists with Gmail or Hotmail or Yahoo mail, delay sending it so that it is delivered midmorning in the time zone of the recipient on Monday.

Why do this? Then they are rolling into their day; they aren't cursing at you for piling up work for them; it's more likely to be looked at that if you send it on Friday night, Saturday or Sunday. Those are awful times to send resumes! No one looks at them right away. After all, we tend to look at the more recent stuff that we receive that day.

So follow that advice. Get more responses. Think like the recipient, instead of only thinking about yourself.

Again. Delay the send. That's the whole trick to this. You can get it into your outbox, leave your computer on, let it go out and will arrive at the specified time.

The Preferred Application Process | JobSearchTV.com

Summary

There was a question on Quora today., "When applying to jobs, do you prefer filling out forms, one click solutions like on LinkedIn where you can apply using your LinkedIn profile, or a simple career specific email address?"

Let me start by saying that the question has a flaw to it. The flaw is whether you prefer the ease of doing something and you're looking at the question from the job hunter perspective. From the job hunter perspective, everyone wants the one click solution because it involves no effort. But there was a flaw.

The flaw is what gets results? Frankly, one click solutions where they are just sending off your LinkedIn profile, fail more often than not. Because the profile is not tailored to demonstrate what you can do for the organization. It is a generic thing... The same resume sent to job after job. The result is that you are focused on ease of submission; I'm thinking of demonstrating the fit. Employers are thinking of you demonstrating the fit, too.

If your profile happens to do it, great! Unfortunately, most don't. Don't take the lazy way out of here. Submit a resume (or actually contact the hiring manager, finding them using LinkedIn, see if you have a friend who can introduce you) and going in that root, rather than just simply sitting back and saying to yourself, "I would rather just sit back and let someone or something else to all the work... That they don't do.

At the end of the day, the even recruiters want to see something that vaguely looks like what they are trying to find for their clients. Again, don't get lazy about this because you will reap the consequences of that laziness.

Now, you might have the most wonderful skills on the planet but, eventually, it is going to shift and they are not good be quite so dominant. Trust me. There were a lot of Java developers out there who one day ago were heroes and now are ordinary as their skills became commoditized. That is going to happen to you, too,oh, Ruby professional, oh php developer, oh startup maven.. You may be ruling the roost now and hopefully will never need a job again. Your firm may wind up cashing out and you will become a gazillionaire.

However, the question is, what do you prefer? The answer should be, "I prefer a submission that is going to get the best result. One click apply does not do it..
