Workday often experiences issues reading and importing PDF files, particularly when parsing resumes. Users commonly encounter errors with formatting, mapping data, and file uploads (often requiring manual cleanup), with some reports indicating that PDFs may show messed-up fonts or trigger system errors. 
Common PDF Issues in Workday
  • Resume Parsing Failures: Workday’s Applicant Tracking System (ATS) frequently struggles to parse complex PDF layouts, often misreading data fields.
  • Upload Errors: Users report “Your document wasn’t uploaded” or “The PDF file could not be loaded” errors, sometimes even when files are under the size limit.
  • Formatting Issues: Generated PDF documents can have formatting glitches, such as removed lines or unreadable text, especially if the PDF uses complex formatting. 
Workarounds and Recommendations
  • Use Word (.docx): Many users find that uploading resumes as Word documents instead of PDFs significantly reduces errors and mapping issues.
  • Use Standard Formats: Avoid complex, multi-column resumes or heavily designed templates, as these confuse the parser.
  • Check File Size: Ensure the PDF is not too large.
  • Use Plain PDF: If you must use PDF, use a simple text-based PDF rather than one with scanned images or heavy graphics. 
While many enterprise ATS systems, including Workday, can parse PDFs, they are notoriously sensitive, and Word files are often considered a more reliable alternative for applicant tracking systems.
